Terms of Service

Please read these Terms of Service (“Terms”) carefully before using the Arvix Health website at arvixhealth.com or any services provided by Arvix Health (“Arvix Health,” “we,” “us,” or “our”). These Terms constitute a legally binding agreement between you and Arvix Health.

1. Acceptance of Terms

By accessing or using our website, submitting an intake form, or completing a purchase, you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy, which is incorporated herein by reference. If you do not agree to these Terms, you may not use our services.

If you are using our services on behalf of another person, you represent that you have the authority to bind that person to these Terms and that you accept these Terms on their behalf.

2. Description of Services

Arvix Health provides an online platform that facilitates the evaluation and issuance of emotional support animal (ESA) letters and medical accommodation letters by licensed healthcare providers. Our service includes:

  • A secure online intake form to collect the information necessary for a licensed provider to evaluate your request
  • Review of your intake information by a licensed healthcare provider qualified to issue accommodation letters
  • Digital delivery of your completed ESA letter or medical accommodation letter to your email address upon approval
  • Customer support for order-related inquiries and letter edits within the timeframe described in these Terms

Arvix Health serves as a technology platform connecting individuals with licensed healthcare providers. The letter itself is issued by the licensed provider, not by Arvix Health as a corporate entity.

3. Not a Medical Provider Relationship

Our services do not constitute ongoing medical care, therapy, or a traditional patient-provider relationship. Arvix Health does not provide diagnoses, treatment plans, prescriptions, or ongoing healthcare management.

The licensed healthcare provider who reviews your intake form is performing a limited evaluation for the specific purpose of determining whether your disclosed condition supports the issuance of an accommodation letter. This is not a substitute for comprehensive medical or mental health care from your primary physician, therapist, or other treating provider.

4. Eligibility

You must meet all of the following criteria to use our services:

  • You must be at least 18 years of age
  • You must be a resident of the United States
  • You must have a genuine medical or mental health condition that you believe may qualify for an accommodation letter
  • You must provide truthful, accurate, and complete information in your intake form
  • You must have the legal capacity to enter into a binding agreement

We reserve the right to decline service to anyone at our sole discretion, including where we believe a request may be fraudulent, inappropriate, or inconsistent with applicable law or professional standards.

5. Intake Process & Accuracy of Information

You agree to provide truthful, accurate, current, and complete information in your intake form. You understand that the licensed provider’s evaluation and any resulting letter are based entirely on the information you provide. Submitting false, misleading, or fabricated information is a material breach of these Terms and may constitute fraud.

By submitting your intake form, you certify that:

  • All information you provide is true and accurate to the best of your knowledge
  • You are the individual described in the intake form, or you are legally authorized to submit on behalf of that individual
  • You understand that a licensed provider will rely on your disclosures when making their determination
  • You consent to the licensed provider reviewing your health information for the purpose of this evaluation

Arvix Health and the reviewing provider reserve the right to decline to issue a letter if, in the provider’s professional judgment, the information provided does not support issuance under applicable medical and legal standards.

6. Payment & Fees

Our current fee for the ESA letter or medical accommodation letter service is $24.00 (USD), payable in full at the time of intake submission. This is a flat fee with no recurring charges or subscriptions.

Payment is processed through a secure third-party payment processor. By submitting payment, you authorize us to charge the applicable fee to your provided payment method. You represent that you are authorized to use the payment method provided.

Fees are subject to change. Any price changes will be reflected on our website and will apply only to orders placed after the change takes effect. Your order is governed by the price displayed at the time of your purchase.

7. Refund Policy

Because our service involves the immediate engagement of a licensed healthcare provider upon submission of your intake form, refunds are subject to the following policy:

  • Before provider review begins: If you contact us at support@arvixhealth.com before a licensed provider has begun reviewing your intake, we will issue a full refund.
  • After provider review has begun: Once a licensed provider has begun or completed the review of your intake, the fee is non-refundable, as the provider’s professional time and services have been rendered.
  • Declined requests: If a licensed provider determines that your intake does not support the issuance of a letter, you will receive a partial refund of $19.00, as a $5.00 administrative and provider review fee will be retained.
  • Letter edits: Requests for edits or corrections to an issued letter within 30 days of delivery are handled at no additional charge and do not constitute grounds for a refund.

To request a refund, contact us at support@arvixhealth.com with your order information and reason for the request. Approved refunds will be processed to the original payment method within 5–10 business days.

8. Letter Delivery

Upon completion of the licensed provider’s review and approval of your request, your letter will be delivered digitally to the email address you provided during intake. We aim to deliver completed letters within one (1) hour of intake submission during normal business hours (Monday–Friday, 9:00 AM – 5:00 PM EST).

Delivery times may vary due to provider availability, submission volume, or if additional information is needed from you. We are not responsible for delays caused by incorrect email addresses, spam filters, or email delivery issues outside of our control.

It is your responsibility to ensure the email address provided in your intake form is accurate and that you have access to it. If you do not receive your letter within two (2) business hours during business hours, please contact us at support@arvixhealth.com.

9. No Guarantee of Acceptance

Arvix Health does not guarantee that any landlord, employer, airline, educational institution, or other third party will accept or honor your accommodation letter. Acceptance of ESA letters and medical accommodation letters is governed by applicable federal and state law, as well as the policies of the individual organization involved.

Laws and regulations regarding ESA letters and accommodation requirements — including the Fair Housing Act, the Air Carrier Access Act, and the Americans with Disabilities Act — are subject to change and vary by jurisdiction. It is your responsibility to understand the applicable legal requirements and the policies of the relevant organization before relying on your letter.

Arvix Health makes no representations or warranties that your letter will be accepted, that it will result in a granted accommodation, or that it will satisfy the specific requirements of any particular housing provider, employer, airline, or institution.

10. Prohibited Uses

You agree that you will not use our services for any of the following purposes:

  • Submitting false, fabricated, or fraudulent health information in an intake form
  • Obtaining a letter for a condition you do not have or an accommodation you do not genuinely need
  • Reselling, transferring, or falsely representing a letter as belonging to another individual
  • Using a letter issued by Arvix Health to misrepresent yourself or another person to any housing provider, employer, airline, or institution
  • Attempting to circumvent our intake process, payment systems, or security measures
  • Using our website or services for any unlawful purpose or in violation of any applicable law or regulation
  • Harassing, threatening, or abusing our staff, providers, or other users
  • Attempting to gain unauthorized access to our systems, data, or the information of other users

Violation of any of these prohibitions may result in immediate termination of your access to our services, forfeiture of any refund, and referral to appropriate legal authorities where warranted.

11. Intellectual Property

All content on the Arvix Health website, including text, graphics, logos, images, the site design, and software, is the property of Arvix Health or its content licensors and is protected by applicable intellectual property laws. You may not reproduce, distribute, modify, create derivative works of, or otherwise exploit any content from our website without our prior written consent.

Your accommodation letter, once issued, is for your personal use only in connection with the legitimate accommodation need described in your intake form. The letter may not be altered, forged, or used in any way that misrepresents its contents or authorship.

12. Disclaimers

OUR SERVICES ARE PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT.

We do not warrant that our website will be uninterrupted, error-free, or free of viruses or other harmful components. We do not warrant that the results obtained from using our services will be accurate, reliable, or meet your specific requirements.

Nothing in these Terms shall be construed to create a warranty that any accommodation letter will be accepted by any third party or that you will receive any particular accommodation as a result of your letter.

13. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, ARVIX HEALTH, ITS OFFICERS, DIRECTORS, EMPLOYEES, CONTRACTORS, LICENSED PROVIDERS, AND AGENTS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES ARISING OUT OF OR RELATED TO YOUR USE OF OUR SERVICES, INCLUDING BUT NOT LIMITED TO:

  • Loss of housing, employment, or educational opportunity as a result of a letter not being accepted
  • Any decision made by a third party regarding your accommodation request
  • Errors or omissions in your intake submission
  • Delays in letter delivery outside of our reasonable control
  • Unauthorized access to your information as a result of circumstances beyond our reasonable security measures

IN NO EVENT SHALL OUR TOTAL AGGREGATE LIABILITY TO YOU EXCEED THE AMOUNT YOU PAID TO US FOR THE SPECIFIC SERVICE GIVING RISE TO THE CLAIM. Some jurisdictions do not allow certain limitations of liability, so the above limitations may not apply to you in full.

14. Indemnification

You agree to indemnify, defend, and hold harmless Arvix Health, its officers, directors, employees, contractors, and licensed providers from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys’ fees) arising out of or related to:

  • Your use of our services
  • Your violation of these Terms
  • Your submission of false, inaccurate, or fraudulent information in your intake form
  • Your misuse of any letter issued through our services
  • Your violation of any applicable law or the rights of any third party

15. Governing Law & Disputes

These Terms shall be governed by and construed in accordance with the laws of the United States and the state in which Arvix Health is incorporated, without regard to conflict of law principles.

Any dispute arising out of or related to these Terms or your use of our services that cannot be resolved informally shall be submitted to binding arbitration conducted by a recognized arbitration body under its applicable rules, on an individual basis. You waive any right to participate in a class action lawsuit or class-wide arbitration against Arvix Health.

Before initiating any formal dispute resolution, you agree to first contact us at support@arvixhealth.com and provide a written description of the dispute and the resolution you are seeking. We will make a good-faith effort to resolve the dispute within 30 days of receiving your written notice.

16. Changes to These Terms

We reserve the right to modify these Terms at any time. When we make changes, we will update the effective date at the top of this page. For material changes, we will provide additional notice on our website. Your continued use of our services after the updated Terms take effect constitutes your acceptance of the revised Terms.

We encourage you to review these Terms periodically. If you do not agree to the updated Terms, you must stop using our services.
